Summary

Performs diversified administrative tasks/duties to support the service department.

Essential Functions

  • Process and approve technician electronic time entries, work orders and purchase orders in a timely manner to minimize outstanding work in process.
  • Gathers, tabulates, and posts information and/or records to ensure service efficiencies.
  • Checks repair orders for accuracy and completeness, verifies information, and enters information.
  • Receives service breakdown calls from customers and gathers the necessary information to dispatch the appropriate technician with the needed parts and skill set.
  • Answers phone, takes messages, provides information, or redirects calls as appropriate.
  • Operates office equipment such as a calculator, copy and facsimile machines, or personal computer.
  • Maintains appropriate records, files, documentation, etc.
  • Duties and tasks are varied and complex, are performed under general supervision and typically require originality and/or ingenuity.
  • Incumbents rely on experience and judgment to plan and accomplish assignments, and have the latitude to adapt procedures, processes and techniques.
  • Ability to manage multiple technicians simultaneously, organize their work days as well as keeping on task with the administrative duty requirements of the position. Manage customer expectations.
  • Works closely with outside vendors and generates purchase order numbers. Reconciles accounts payable invoices with accounting department.
  • Reconciles monthly P-card transactions and statements.
  • Assists with daily work order maintenance.
  • Other duties as assigned.

Education and/or Experience

High school degree, associate’s degree from two-year college or university; or one to two years’ related experience and/or training; or equivalent combination of education and experience.

Computer Skills

  • Microsoft Office (Word, Excel, Outlook and PowerPoint)
  • Experience with Windows based programs

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Use of addition, subtraction, multiplication, and division as it relates to the function.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

The employee is frequently required to sit. The employee must frequently lift, carry, push, pull and /or otherwise move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment

While performing the duties of this Job, depending on site location, the employee may be exposed to moving mechanical parts and equipment. The employee may occasionally be exposed to high, precarious places, fumes or airborne particles; outside weather conditions and vibration. The employee may occasionally be exposed to wet and/or humid conditions; toxic or caustic chemicals; extreme cold; extreme heat and risk of electrical shock. The noise level in some work environments is occasionally loud.
